PRIVACY POLICY

Who we are

LawnHub is a private app that runs the weekly five-a-side for Sports Hall Slippers FC: who's playing, reserves, teams, votes and who's paid. It's run by the club's captains, not a company. The person responsible for your data (the “controller”) is Sam Stone, on behalf of the club.

What we collect

• Account: your name, email address and password (stored as a secure hash; nobody can read it).
• Profile: an optional photo, optional phone number, favourite team, positions, and a 1–10 skill rating used to balance teams.
• Playing: whether you're in or out each week, your place in the reserve queue, which team you were on, running-late status, your Man of the Match and Donkey votes and awards, and match results a captain records (the score, and your goals and assists).
• Money: whether you've paid for the block or a reserve session. Card payments for reserve sessions are handled by Stripe; LawnHub never sees or stores your card details. Block fees are paid to the captain outside the app; LawnHub only records that you paid, and when you tapped “I've paid” for a captain to check. If a captain adds their bank details for block payments, signed-in members can see them while they owe the block.
• Captain notes: captains can keep short private notes about players (for example, availability patterns) and receive private skill-rating suggestions from players.
• Guests: captains can add a one-off guest's name and skill rating for a single week. Guests have no account.
• Optional club features (only if the captains switch them on): messages you post in club chat (and reports of messages); the time you tapped “I'm here” at the pitch (your phone checks it's near the venue, but your location is never sent or stored); private “play with / avoid” choices for team picking, seen only by you and the captains; the live score during a match; captain-made trophy cards you've been given; and a short AI-written profile or match report.
• People asking to play: if someone uses the week's live link to ask to play as a guest, we store the name they type until a captain accepts or declines it.
• Notifications: if you turn on reminders, a push subscription for your device so we can send match reminders.

How you use the app: when you last opened it, how many times, and whether that was in the app or a browser; and a log of changes to the club's records (for example who marked someone In or Out, marked a payment, changed the teams or recorded a result), including when you vote and open a trophy pack. The app keeps these itself, for up to a year, so captains can run the club; nothing is sent to an analytics company.

We don't use advertising, or third-party analytics or tracking tools, and we don't sell or share your data for marketing.

Why we use it

Only to run the club's games: knowing who's playing, filling spaces from reserves, picking fair teams, tracking payments, and sending reminders. The legal basis is our legitimate interest in organising the games you've signed up to, and, for reminders, your consent, which you can withdraw at any time in the app.

Who can see it

• Other members see your name, photo, availability, teams, stats, votes and trophy cards.
• Captains can also see your email, phone, skill rating, payment status and captain notes, who you voted for in MOTM and Donkey votes, when you last opened the app and how often, and the log of changes above. Co-captains see the same, except votes and app-open history. The voting screen says captains can see your vote.
• Anyone with the week's live link (shared in the club WhatsApp group) can see the names of that week's players and teams, without signing in.
• Anyone with the club's calendar link (if the captains make one) sees kickoff times and the venue only, no names.

Services we use

• Supabase: database, sign-in and photo storage.
• Netlify: hosts the app.
• Stripe: card payments for reserve sessions.
• Your browser's push service (Google, Apple or Mozilla): delivers reminders if you turn them on.
• Anthropic (only if captains turn on AI features): writes match reports, player profiles and the Ask LawnHub assistant's answers, from names, scores, match stats and the question you ask. Never emails, phone numbers or payment details. Assistant conversations aren't saved, unless you report an answer.
• xAI (Grok), in the club WhatsApp group: the club uses a Grok-powered assistant in its WhatsApp group, run by the captains, separate from this app. It can read messages posted in that group and the club's LawnHub information (names, availability, teams, results and stats) so it can answer questions there. It can't see your email, phone number, password or payment details, and it can't change anything in LawnHub. Messages you send to it are handled under xAI's own privacy policy. If you'd rather it didn't answer about you, tell a captain.
• Open-Meteo: the weather forecast for the pitch. Only the venue's location is sent, nothing about you.

Some of these providers may process data outside the UK, under their own standard safeguards for international transfers.

Cookies and storage

We use only the cookies needed to keep you signed in, plus a few settings saved on your device (such as which Home view you prefer). No advertising or tracking cookies.

How long we keep it

For as long as you have an account. When you delete your account, your data is deleted straight away. Captains occasionally take a private backup before a big update; those are deleted within 90 days. Stripe keeps its own payment records as the law requires.

Your rights

You can see and edit most of your data in the app (Hub → Edit). You can also ask us for a copy of your data, ask us to correct it, object to how we use it, or delete it. To delete your account, see how to delete your account. For anything else, email hello@lawnhub.club.

If you're unhappy with how we handle your data, you can complain to the Information Commissioner's Office at ico.org.uk.

Age

LawnHub is for adult players. It isn't intended for anyone under 16.

Changes

If this policy changes, we'll update the date at the top and tell the group.
